Administrative & Operations Assistant - Japan

About the role

Fever, a tech platform for culture and live entertainment, is hiring a Support Agent / Administrative & Operations Assistant for its Candlelight team in Tokyo. The role keeps administrative, documentation and operational processes behind Fever's events running smoothly, working behind the scenes to support events across Japan. It is a part-time position of 10 hours per week, Monday to Friday, on a hybrid basis with an indefinite-term contract.

Key responsibilities

• Prepare and manage purchase orders and keep accurate administrative documentation
• Review supplier invoices, check them against orders and amounts, and support submission and payment processes
• Maintain financial records and coordinate with relevant teams
• Communicate with external partners and vendors to clarify information and resolve discrepancies
• Coordinate with internal teams and follow up on pending tasks, deadlines and requests
• Check event plan pages and event information for accuracy and consistency, and coordinate corrections
• Update management sheets and other administrative data

Required profile

• Fluent Japanese, with good written and verbal communication
• Good working proficiency in English to communicate with international teams
• Experience in administrative support, operations, finance administration, vendor management or a similar role
• Attention to detail and strong organisational skills
• Ability to work independently in a fast-paced, international environment
• Nice to have: background in events, production or the music industry, and familiarity with tools such as Airtable, Notion or Monday

Required skills

• Spreadsheets and digital tools such as Google Workspace or Excel
• English is not required; translation tools can be used
