GGA Manager – Office Management & Facilities (Tokyo)

About the role

The GGA Manager will lead all General Affairs functions for Springer Nature’s Tokyo office. This role ensures a safe, efficient, and welcoming workplace while supporting business continuity and employee engagement.

Key responsibilities

• Manage office facilities, leases, and relocation projects.
• Organise fire drills, first‑aid training, and disaster‑recovery/continuity plans.
• Lead the local Crisis Management Team and contribute to monthly management meetings.
• Maintain physical assets, seating plans, and desk allocations for new starters and visitors.
• Oversee vendor contracts, negotiate corporate rates with hotels, and manage service agreements.
• Approve company stamp and managing director signature requests.
• Plan company events and support international guest arrivals.
• Report on facilities, environmental, and property metrics, including energy data.
• Handle insurance programs, health‑and‑safety initiatives, and selected GRC issues in Japan.
• Contribute to global projects such as SDG initiatives and Green Impact Network activities.

Required profile

• Bachelor’s degree or equivalent qualification.
• Minimum 5 years of experience in General Affairs, Office Management, Facilities Management, or related functions.
• Proven ability to manage office operations, crisis response, and vendor relationships.
