Marketing Assistant (Contract)

About the role

The Marketing Assistant provides accurate and timely administrative and operational support to the Marketing Head and team, ensuring smooth coordination of meetings, schedules, expenses, contracts, events, and digital content within a pharmaceutical environment.

Key responsibilities

• Manage promotional‑material applications, registration, inventory monitoring, expense processing and account issuance.
• Coordinate internal and external meetings, calendar management and meeting‑room reservations.
• Handle schedules for the Marketing Head and team, including attendance and working‑time administration.
• Administer departmental expenses: obtain quotations, process invoices and prepare expense claims.
• Arrange business travel, meals, visitor logistics and accommodation for speakers and stakeholders.
• Support marketing events with invitation letters, contracts, bank‑account details, travel documents and accommodation arrangements.
• Submit and track applications and approvals in Veeva PromoMats.
• Maintain product website and portal content, manage member information and coordinate with relevant departments.

Required profile

• Experience supporting a corporate marketing function, preferably in the pharmaceutical sector.
• Reliable, service‑oriented professional able to handle confidential information with discretion.
• Strong organizational skills, attention to detail and ability to prioritize multiple deadlines.
• Business‑level proficiency in Japanese and English.

Required skills

• Intermediate proficiency in Microsoft Outlook, Excel, Word and PowerPoint.
• Practical experience with expense claims, invoice processing, meeting coordination and file management.
• Familiarity with Veeva PromoMats or similar promotional‑material management systems.
